Minutes for December 5, 2013 Board of Directors Meeting

The December 2013 meeting was called to order by Steve Bowerman (Acting President) at 7:05 PM. Members present: Steve, Bob Elwood, Pete Lewis, Pat Michael, Dave Reck, Angelo Rizzato, Hiro Tarumi, and Lee Thompson. Absent: Dennis Logie – President; away until late December.


1. The November Board Meeting Minutes were approved. The minutes will be sent to all Directors, Brenda Guzman for the website, and Donna O’Farrell for historical recording.

2. The November 2013 Treasurer’s Report was reviewed and approved as submitted by Treasurer, Angelo Rizzato. Angelo stated that there is a seasonal inflow of revenue with dues, party, and raffle money coming in. There is an insurance bill coming up in April 2014 for $1359 that will cover the Club for another year. Angelo is still pursuing a documented inventory of all Club possessions. The Club has committed to have it done by February 2014.

3. 2014 Annual Meeting, 2014 BOD candidates, Annual Dues Notice – Pat presented for review the email to be sent by December 9 with a Notice of 2014 Annual Meeting, Notice of 2014 Dues, and a Ballot for the 2014 BOD Election. Questions came up regarding nominations from the floor at the Annual Meeting and verifying active membership of the meeting attendees. It was explained that in October 2013 an email was sent to all members asking for nominations for the 2014 Board by November 23, 2013. To date, only one nomination has been received and that name is included on the ballot. The nomination process is essentially closed since the deadline to submit nominations has passed. Pat will verify that attendees at the meeting are paid members and also have a table set up where attendees can pay their 2014 dues. There were several suggestions on amending the Notice of Annual Meeting letter and Pat will include them before sending out the email which is to be sent out by December 9, 2013 to meet the 30 days before the Annual Meeting requirement. Club members without email will be notified of the 2014 Annual Meeting by a phone call from one of the Board members.

4. Day Play Rule Change – The Board decision to time limit the duration of Day Play games, with any inning after 11:45 being the open inning, was met with concern from several players. The Board has decided to put the rule ‘on hold’ especially since players now seem to be more aware of not wasting time before and during the games. The rule will be revisited as needed.

5. Christmas Party final report - Pat reported the December 7 party preparations are on schedule and everything is pretty much ready. The bar opens at 6:00 PM with dinner served at 6:45. Pat said 129 have signed up to attend.

6. Club Hat Sales – The Club approved the purchase of 24 more hats last month. They are on order and expected to be ready on Monday, December 9. They will be made available for sale at Day Play and Night Play although Night Play players already bought out the previous order of 24.

7. Winter Night League – Pete reported the new season started December 5 and is scheduled for 9 games overall. The Hawes Park maintenance person worked the field on November 25 only to find out there were no games that week. The Club decided to pay him anyhow. Schedules for the games are now posted at the field. We are no longer having an official paid umpire for Night Play and will use volunteers as available.

8. IRS Letter follow up - The IRS has not responded yet on our appeal to drop penalty charges for our late 2011 Form 990EZ filing but Angelo expects to hear in the next few weeks. It usually takes 4-6 weeks for the IRS to respond.

9. Roundtable – Hiro now has the case of .44 Spirit softballs that Joe Bozzuto was storing. Hiro got approval to purchase 10 dozen .52 softballs for Day Play at a cost not to exceed $400. The Club will talk to Eric Newby, RWC Parks & Recreation, about purchasing softballs from him. The DeMarini steel bat was discussed again and Bob expressed a desire for the Club to limit the use of any bat with a composite in it regardless if just the handle. Discussion will continue next year. Pete mentioned that Morris Hosoda (Mo), a Club member, makes manually operated scoreboards for $60. Pete has seen them and recommends that the Club buy one, try it out, and if OK purchase more for the various fields we play on. The Club approved the purchase of one scoreboard. Pete will contact Mo.

Meeting was adjourned at 8:45 PM. Next Board meeting will be the Annual Membership Meeting followed by the Monthly Board meeting on January 9, 2014.
